Quotes allow you to create and send professional quote proposals to leads and customers, then convert them directly into service plans and customer relationships. Quotes work similarly to service plans, making it easy to build from templates and customize pricing, terms, and billing details.

Accessing Quotes
Quotes are located in the Service tab under Quotes. From here you can view, create, and manage all your quotes in one centralized location. You can also create quotes directly from a lead or customer page.
Creating a New Quote
To create a quote:
Click Create Quote
Select who the quote is for (lead or customer name)
Select a Salesperson — this person will be attributed to the sale when the quote converts to a service plan
(Optional) Choose a Plan Template if you have them configured — templates auto-fill service details so you don't have to configure everything from scratch
Configuring Quote Details
Just like service plans, you can fully customize:
Service types — what services are included
Frequency — how often services recur (e.g., weekly, monthly, quarterly)
Custom months — set custom billing cycles if needed
Line items & pricing — add individual line items and their prices
Discounts — apply discounts to line items or the total
Notes
Client-facing notes — visible to the client on the quote they receive
Internal notes — visible only to your team when reviewing quotes internally
Advanced Settings
Expand Advanced Settings to configure additional options:
Billing mode — determines how the client is charged and affects how the agreement is generated
Tax rate — set a tax rate if applicable to this quote
Auto-advance to agreement — when enabled, automatically redirects the client to sign an agreement immediately after approving the quote, reducing back-and-forth communication
Sending the Quote
Once your quote is configured, click Create and Send. The quote will appear in your quotes list with a summary showing:
All line items and pricing
Tax and any applied discounts
Job breakdown (for recurring plans)
A quick link to preview exactly what the client will see
Client Quote Portal
When the client opens their quote link (via email or text), they see:
Job breakdown with dates
Line items and pricing details
Tax and total amount
Three action buttons:
Approve — accept the quote
Decline — reject the quote
Request Changes — ask for modifications
You'll receive notifications for any client actions (configurable in notification settings).
Converting Quotes to Service Plans
With Auto-Advance Enabled
If you enabled Auto-advance to agreement in advanced settings:
Client approves the quote
Client is redirected to sign the agreement
Upon signing, a service plan is automatically created
The lead is converted to a customer
With Auto-Advance Disabled
The client must manually navigate to the agreement after approval, which takes longer.
After Conversion
The quote status changes to Converted
A new service plan is created with all quote details, including notes and the assigned salesperson
The service plan starts as Inactive
To activate the plan, schedule the first service — then proceed as normal
You can view the created service plan on the customer's page with all the same details from the quote.
Managing Quotes
Quick Filters
Use the filters at the top of the quotes list to find specific quotes:
Sent — quotes that have been sent to clients (have a name and are waiting)
Approved/Not Responded — quotes the client approved or hasn't responded to yet; use this to follow up
Changes Requested — quotes where clients requested modifications
Converted — quotes successfully converted to service plans
CSV Export
Click Export CSV to download all visible quotes with additional details for reporting or external analysis.
Best Practices
Use plan templates to speed up quote creation for recurring services
Enable auto-advance to agreement to streamline the conversion process
Add internal notes to remind your team of important context when reviewing quotes
Use client-facing notes to explain terms, pricing, and next steps clearly
Follow up on quotes that haven't been responded to within your typical response time
