Requests & On-site Assessments

Log incoming work as a request, book an on-site assessment, and turn it into a quote, job or service plan.

A request is incoming work you haven't priced yet: a call, a web form, or someone asking you to come take a look. You log it, book an on-site assessment if you need to see the property, and then create a quote, job or service plan from it. Everything you create stays linked back to the request.

Requests are on for every company by default. Admins can turn them off in Features.

Where to find requests

  • Web: Service → Requests.

  • Mobile: tap the + menu to create one, or open the Requests section on a lead or customer page.

The Requests list (web)

The top of the page shows four counts:

  • Open Requests

  • Assessments this week

  • Unassigned: open requests with no assignee

  • Created into work: requests turned into a quote, job or service plan

Each row shows the contact, notes, status, assignee, assessment time, what it was created into, and the date it was created. Search and filter from the top of the list. The archive icon shows archived requests.

Statuses

  • Open: logged, no assessment booked yet

  • Scheduled: an on-site assessment is booked

  • Completed: the assessment is done

Create a request

  1. On web, click Create Request. On mobile, use the + menu or the Requests section on a lead or customer.

  2. Pick the lead or customer and confirm the address.

  3. Fill in What they need. Tap Template to start from a notes template.

  4. Under Assigned to, add the salespeople or techs who own the request.

  5. Optionally turn on On-site assessment and book a time (see below).

  6. Save.

Drafts: you can save a request before it's ready and finish it later.

Notes templates

Templates give your team a consistent starting point for request notes, like a list of questions to ask. Manage them in Settings → Price Book → Templates. Set one as the default and it pre-fills on new requests.

Requests from web forms

A web form can create a request instead of only a lead or customer. In the form's settings, set This form creates → New Request. The form's answers go into the request's notes. See Web Forms.

On-site assessments

An assessment is a visit to look at the job before you price it.

  • Book it on anyone: technicians, salespeople or office staff, even outside their usual hours.

  • Assessments show on Schedule and Home.

  • On web, drag an assessment on the schedule to reschedule it. On mobile, open the request and tap Reschedule.

The person on the assessment can be different from the request's assignees.

Client texts

Set these in Settings → Messaging → Requests & Assessments:

  • Assessment Booked

  • Reminders

  • On My Way

  • Assessment Completed (off by default)

See Client Messaging Settings.

Create work from a request

When you're ready to price the job, open the request and use Create from It to start a quote, job or service plan. It's prefilled from the request and linked back to it, and the request list shows what it was created into.

Leads can't have jobs or service plans. For a lead, create a quote, or convert them to a customer first. See Converting Leads to Customers.
