Objective

This video explains how to use the updated map tools to identify customer status, select groups of pins with the lasso, bulk assign pins, manage active/inactive territories, and apply filters to improve map performance. It is designed to help team members work faster and keep maps organized.

Key Steps

1. Identify customer status using star colors 0:09

  • Open the map on mobile and review the star colors.

  • Use gold stars to identify customers with active plans.

  • Use green stars to identify customers who are customers but do not currently have an active plan.

  • Use gray stars to identify inactive customers.

  • Use these colors to decide who needs follow-up versus who already has upcoming service.

2. Use the lasso tool to select pins in a specific area 0:36

  • Locate the lasso tool on the map.

  • Draw a circle around the area you want to review.

  • View the customers/pins inside the selected area.

  • If needed, turn off filters temporarily to make pins easier to see.

  • Use this feature when you need to review a cluster of pins instead of checking them one by one.

3. Bulk assign selected pins as an admin 1:12

  • After selecting pins with the lasso, click Edit.

  • Choose the assign option.

  • Select the team member or user who should receive the pins.

  • Confirm the assignment.

  • Verify that the pin(s) now show as assigned to the selected person.

4. Review active and inactive territories as an admin 1:39

  • Go to the Territories section.

  • As an admin, review both active territories and inactive territories.

  • Note that company members will only see active territories.

  • Use inactive territories to store future territory plans without cluttering sales reps’ maps.

5. Create and save a new inactive territory 1:49

  • Open Territories and choose to create a new territory.

  • Draw the territory boundary on the map.

  • Leave the territory assigned to no one.

  • Name the territory clearly, such as test inactive or another descriptive label.

  • Save the territory so it remains available for future use.

6. Activate a territory and assign it to a team member 2:07

  • Click the saved inactive territory.

  • Change the status to active.

  • Assign the territory to the appropriate team member.

  • Click Save.

  • Confirm the territory now appears assigned and active.

7. Use location-based filtering to reduce map load 2:29

  • If the map has many pins or markers, use the location-based filter.

  • Set the map to show only items within a short range of your current location.

  • Filter by markers such as pins, customers, or leads depending on your needs.

  • Use this option when the app is slow or when you only need nearby records.

8. Filter pins by date range 2:58

  • Open the date filter.

  • Choose a preset range such as last day, last 7 days, or last 30 days.

  • For a custom range, select the custom date option.

  • Enter the start and end dates you want to review.

  • Use this to narrow results to a specific time period, such as a full month.

9. Adjust, reset, and refine filters as needed 3:08

  • Combine filters to narrow results further.

  • Change filters whenever the current view is not giving the right results.

  • Use reset to clear filters and return to the default map view.

  • Reapply only the filters needed for the task at hand.

Cautionary Notes

  • Admins only: Bulk assignment and territory management actions should only be performed by authorized admins.

  • Be careful when changing a territory from inactive to active, since it will become visible to company members.

  • When using the lasso tool, confirm you are selecting the correct area before assigning pins.

  • If the map is slow, avoid loading unnecessary pins by using location and date filters.

  • Double-check assignments after saving to prevent pins or territories from being assigned incorrectly.

Tips for Efficiency

  • Use star colors first to quickly prioritize follow-up work.

  • Use the lasso tool when handling multiple nearby pins instead of editing them individually.

  • Keep future territories inactive until they are ready to be used.

  • Use location filters when working in a small service area to improve speed.

  • Use date filters to focus only on recent activity and reduce clutter.

  • Reset filters before starting a new task to avoid missing records.
