Line Items

Line Items in Rotor act as your price book, helping you organize services, set pricing, and manage recurring plans. This guide will show you how to configure line items so your team can sell jobs or service plans accurately.

Step 1: Access Line Items

  1. Go to SettingsLine Items.

    Note: As more configuration options are added, this section will eventually be renamed Price Book.

  2. You may see default templates. If not, click Add New to create a line item.

  3. Example: For a window cleaning business, you might create:

    • Exterior Window Cleaning

    • Interior Window Cleaning

    • Screen Cleaning


Step 2: Configuration

Measurement Fields:

  • Measurement fields act as internal or audit fields—they don’t directly determine pricing but help your team track quantity and accuracy.

  • Example: Entering 20 panes for a $299 job allows managers to verify pricing/ensure accurate quotes.

Unit Pricing Option:

  • Charge per unit (e.g., $6 per pane).

  • Enter quantity during signup, and the price updates automatically.

Service Types:

  • Service types control which line items appear when creating a job or plan.

  • Example: If you select Window Cleaning, only relevant line items will display.

  • This keeps the interface clean and prevents confusion.


Step 3: Add Line Items to Services

  1. When adding a service, set the start date, service type, and frequency (e.g., quarterly for 12 months).

  2. Add line items associated with that service type:

    • Exterior cleaning: $250 per visit (flat rate)

    • Interior cleaning: $5 per pane (unit-based)

    • Screen cleaning: optional or included in specific visits

  3. You can assign line items to specific visits:

    • Example: Interior cleaning applies only to the 2nd and 3rd visits

    • Screen cleaning applies only to the initial visit


Step 4: Apply Discounts

Discounts have very similar behavior to line items:

  • Dollar-based or percentage-based discounts

  • Apply to initial job only or specific visits

  • Customize based on your pricing model


Tips for Using Line Items Effectively

  • Use measurement fields to help your team price jobs consistently or to track specific data.

  • Decide whether each line item should be flat-rate or unit-based.

  • Assign service types carefully to keep your workflow clean.

  • Take advantage of visit-specific line item and discount rules to create flexible recurring plans.
