Create and Use Checklists for Jobs, Clock-In/Clock-Out, and Mobile Completion

Objective
This video explains how to create, configure, and use Checklists in the Price Book so technicians can complete required job, clock-in, and clock-out forms on mobile. It also covers how admins can review submitted checklist results in the web timesheet view.
Key Steps
1. Open the Checklist feature in Price Book 0:00
Go to Settings.
Open Price Book.
Select Checklist at the top.
Review the list of existing checklists before creating or editing one.
2. Open an existing checklist or create a new one 0:14
From the checklist list, select the checklist you want to work on.
Click Edit to open the checklist builder.
Use the preview area to see what technicians will see on mobile.
Confirm whether the checklist is for a job/visit, clock-in, or clock-out workflow.
3. Add the correct question types 0:30
Choose the question type that matches the information you need collected:
Short answer: one-line text response.
Long answer: multi-line text response.
Drop-down choice: select one option from a list.
Checklist: multiple selectable items.
Numerical answer: digits only.
Image uploader: upload from gallery or take a photo.
Date picker: select a date.
Signature: capture a signature for approval or sign-off.
Add as many questions as needed for the workflow.
4. Configure checklist behavior and required completion rules 1:16
Decide whether the checklist should require all items to be completed before moving on.
If enabled, technicians must finish the checklist before continuing.
Use this setting when the checklist must be completed in one pass.
Confirm which items are required so the technician cannot skip critical fields.
5. Set up a job or visit checklist 2:22
Assign the checklist to a job or visit type.
Choose whether the checklist should automatically attach when a job is created.
If needed, set a service type trigger so the checklist appears only for specific jobs (for example, a window washing service type).
Decide whether the checklist can also be added manually by an admin or user.
6. Choose flexible or sequential completion 2:44
Select Flexible if technicians may complete items in any order.
Select Sequential if technicians must complete items in the exact order shown.
Use sequential mode when one step depends on another or when the process must follow a strict order.
7. Require checklist completion before job completion 2:50
Enable the option that prevents the job or visit from being completed until the checklist is finished.
Verify that the Complete Job or Complete Visit button is disabled until all required items are done.
Mark any fields that must be completed before the job can be closed out.
8. Create clock-in and clock-out checklists 3:11
Build separate checklists for clock in and clock out workflows.
Assign the checklist to the correct employee role, such as Salesman.
Keep these checklists short and easy to complete.
Confirm the checklist appears when the employee selects the matching clock action.
9. Set clock checklist frequency and skip behavior 3:44
Choose whether the clock checklist should appear only once per day.
Use this setting when the same question should not repeat after the first response.
Decide whether employees can skip the checklist.
If skip is allowed, understand that the employee may be prompted again later if the checklist was not completed.
10. Review checklist results in the web timesheet view 4:45
Open the admin timesheet or web results view.
Locate the submitted checklist entry.
Review collected responses, including:
signatures
photos
text answers
dates
Note that submitted checklist results can be viewed, but not edited, from this screen.
If needed, add or update a checklist from the web view when configuring records.
11. Complete clock-in and clock-out checklists on mobile 5:28
On the mobile device, select the appropriate clock action.
For clock in, choose the role (for example, Salesman), answer the prompt, and tap Submit.
For clock out, answer the prompt or choose Skip if allowed.
If skipped, the employee will still clock out, but the checklist may appear again later depending on the configuration.
Confirm the response is saved to the company timesheet.
12. Complete a job or visit checklist on mobile 6:15
Open the job or visit that has an assigned checklist.
Tap the floating checklist button showing progress (for example, X out of X completed).
Fill out each question type as prompted.
Submit the checklist when finished.
If the checklist is already submitted, reopen it only if editing is allowed by your permissions or workflow settings.
13. Verify mobile input behavior for each field type 7:03
Confirm that each field opens the correct input method on mobile:
text fields show a keyboard
numerical fields show number-only input
date fields open a date selector
signature fields open the signature capture area
Test the checklist before rolling it out to technicians.
Make sure the mobile preview matches the intended workflow.
Cautionary Notes
Do not enable required completion rules unless the checklist truly must be finished before the job can close.
If you allow skipping on clock-out checklists, employees may be prompted again later if the checklist was not completed.
Submitted checklist results can be viewed in the admin timesheet, but they are not editable there.
Make sure the correct role, job type, or service type is selected so the checklist appears for the right users.
Test the checklist on mobile before assigning it company-wide.
Tips for Efficiency
Keep clock-in and clock-out checklists very short to reduce friction.
Use drop-downs, checklists, and numerical fields when you want faster, more consistent answers.
Use sequential mode only when order matters; otherwise, flexible mode is easier for technicians.
Require only the fields that are truly necessary to avoid slowing down job completion.
Preview the checklist on mobile after every change to confirm the technician experience is correct.
