Getting paid and knowing where the money is

PAYMENTS & FINANCIALS

Financials: Invoices, Payments, and Payouts

Build custom billing cycles, whether it's monthly or quarterly, or every 6 weeks. Whether it's a fixed price or rollup all jobs, it can now be done in Rotor!

Billing Cycles

Rotor processes payments through Stripe. Once a customer pays you, that money lands in your Stripe balance and is then paid out to your bank account. Instant Pay is Stripe's option to get those funds in minutes instead of waiting for your regular payout schedule.

This article covers what it costs to process a payment, how Instant Pay works, why it might not be available to you, and what to do about it.

GETTING STARTED

The ordered path from an empty Rotor account to your first job on the schedule. Do the foundation settings first, the money and messaging setup before you go live, and the operational tuning in week two.

First Steps: Account Checklist

Rotor keeps several pairs of objects deliberately separate — leads and customers, jobs and visits, service plans and quotes. This article explains what each one is, when it gets created, and the mix-up people run into most.

Key Concepts: Leads vs. Customers, Jobs vs. Visits, Service Plans vs. Quotes

To begin collecting revenue in Rotor—whether by saving credit cards on file, linking to customer bank accounts, or accepting instant online payments—you must first set up a Stripe Connect account.

This process creates a dedicated Stripe account specifically for your Rotor platform. This integration allows Rotor to automatically track payouts, issue refunds, manage invoices, and handle payment processing without you ever having to leave the app.

Managing clients who pay for your services

CUSTOMERS

The Customers page in Rotor is the central hub for managing your paying clients and their historical data. While Leads represent potential revenue, Customers are the heartbeat of your business—individuals or entities with active service plans, paid invoices, and scheduled jobs.

Rotor intentionally separates these two groups to give you immediate visibility into who is currently generating revenue. This separation ensures your sales pipeline (Leads) stays clean and your operational workflow (Customers) stays focused.

LEADS

The Leads page in Rotor is designed to help you track, manage, and convert potential customers efficiently.

Leads

Pipelines are a way to track leads and customers through any process you define — from quote to close, or converting one-time customers into recurring ones. Think of it as a visual board with stages you move people through as they progress.

Pipelines are especially useful as your business scales and you're managing lots of leads at once.

This guide walks through Rotor’s Web Forms feature and how to use it to capture lead information efficiently. Web forms are one of the most common ways Rotor users collect new leads and are designed to be flexible, customizable, and easy to deploy across multiple marketing channels.

SCHEDULE & WORK

Instead of relying solely on traditional “Jobs,” the platform uses a Visits and Crews system. This approach allows businesses to better track technician performance, support complex team structures, and automate recurring service plans more effectively.

This guide walks through how to set up your team, manage technician availability, organize crews, and use the new scheduling tools to keep your operations running smoothly.

Crew Scheduling

Pending jobs are a way to mark that a customer is due for service at a certain time — without fully scheduling them yet. They act as a placeholder on your schedule so nothing falls through the cracks.

Pending Jobs

The Jobs page gives you a full list of every job in your account, along with quick metrics and filtering tools to help you stay on top of your schedule and collections.

Quotes allow you to create and send professional quote proposals to leads and customers, then convert them directly into service plans and customer relationships. Quotes work similarly to service plans, making it easy to build from templates and customize pricing, terms, and billing details.

Overview

In this guide, we’ll walk through how to connect your Meta page to Rotor so that leads are automatically created when someone fills out a native Meta lead form.

⚠️ Important: This integration does not support DMs at this time. It is specifically for Meta ads that use native lead forms (Instant Forms). When someone submits a form on Meta, the lead will automatically sync into Rotor. Your ad spend data will also pull in automatically.
